Privacy Policy
Last updated: 19 October 2026
Overview
This Policy explains what personal information Properti collects, where it comes from, how it is used and shared, and the choices available to individuals. It applies to Properti websites, applications, Grader, Digital Visibility Index, Reviews, Marketing OS, advertising services and related products in Australia and New Zealand. It should be read with any collection notice shown at the point information is collected.
1. Who we are and scope
1.1 Properti Tech Pty Ltd ABN 90 635 062 029 and ACN 635 062 029 (Properti, we, us or our) provides real estate marketing technology and related services under the Properti.ai name.
1.2 This Policy applies to personal information about website visitors, prospects, customers, authorised users, real estate professionals, review participants, contacts in customer systems, suppliers and other people who interact with Properti.
1.3 Personal information means information about an identified individual or an individual who is reasonably identifiable. It includes personal information under the Australian Privacy Act 1988 and personal information under the New Zealand Privacy Act 2020.
2. Our privacy roles
2.1 Properti handles some personal information for its own business purposes, including accounts, billing, product analytics, security, communications, Grader, Digital Visibility Index, marketing and legal compliance.
2.2 Properti also processes information on behalf of business customers, for example contact, listing, campaign, review and CRM information placed in a customer workspace. In that context, the customer generally decides why and how information is used. Individuals should first contact the relevant customer, although Properti will assist as required by law and contract.
2.3 A franchise or enterprise configuration may permit a network administrator or head office to access information across participating workspaces. The relevant organisation should explain that arrangement to its users and contacts.
3. Personal information we collect
3.1 Identity and contact information, such as name, business role, agency, office, email address, telephone number and location.
3.2 Account and subscription information, including login identifiers, workspace membership, plan, billing status, transaction records and support preferences. Payment card details are generally handled by a payment provider rather than stored in full by Properti.
3.3 Professional and public profile information, such as licence or registration details, agency affiliation, service area, biography, profile photograph, website, social profiles, platform presence, public reviews, ratings and published activity.
3.4 Customer Content and connected service data, including listings, brand assets, templates, posts, campaigns, advertising audiences, lead or CRM records, reviews, messages, automations and information supplied through integrations.
3.5 Communications and support information, including enquiries, meeting notes, feedback, recordings where notified, and records of consents, requests and complaints.
3.6 Technical and usage information, such as IP address, device and browser information, log data, authentication events, pages and features used, referral information, cookie identifiers and approximate location derived from IP address.
3.7 Advertising and analytics information, including campaign interactions, attribution events, preferences, segments and inferred interests.
3.8 Derived information, including Grader scores, bands, rankings, comparisons, inferred profile matches, recommended actions, summaries and risk or integrity signals.
3.9 Sensitive information only where reasonably necessary, lawful and supported by consent or another legal basis. Customers should not provide sensitive information unless the Service is intended for it.
4. How we collect information
4.1 Directly from an individual when they visit, enquire, sign up, claim a profile, purchase, connect an account, submit content, respond to a review request, attend an event or communicate with us.
4.2 From customers, authorised users, franchise or network administrators and people acting for them.
4.3 From connected Third Party Services, such as CRM, listing, social, advertising, review, design, analytics and identity platforms, when an authorised person enables the connection.
4.4 From public sources, including professional and agency websites, social platforms, search results, review platforms, public licensing and franchise registers, and other publicly accessible records.
4.5 From licensed data providers, commercial partners and referral sources.
4.6 Automatically through cookies, pixels, SDKs, logs and similar technologies when a person uses a website, application or communication.
5. Why we collect, use and disclose information
5.1 Provide, configure, secure and support the Services, accounts, subscriptions, integrations and customer workspaces.
5.2 Create, publish and maintain Grader reports, Digital Visibility Index benchmarks, rankings and research, and allow profiles to be claimed, corrected or reviewed.
5.3 Generate and improve content, recommendations, automations, replies, analytics and other AI-enabled features.
5.4 Send review requests, service communications and customer-directed campaigns and measure their delivery and engagement.
5.5 Create, place, optimise and report advertising where a customer has authorised us to do so.
5.6 Process payments, manage contracts, provide onboarding and support, and keep business records.
5.7 Understand use, troubleshoot, prevent abuse, protect accounts, detect fraud and maintain service integrity.
5.8 Develop and improve products using aggregated or de-identified information where practicable.
5.9 Market Properti products and personalise communications or experiences with consent or another permission recognised by law.
5.10 Comply with law, enforce agreements, respond to regulators and legal process, and establish, exercise or defend legal claims.
We seek to collect only information reasonably necessary for these purposes and use or disclose it for the purpose collected, a related purpose reasonably expected in the circumstances, with consent, or as otherwise authorised or required by law.
6. Grader, Digital Visibility Index and public profiles
6.1 Properti Grader and the Digital Visibility Index may collect and combine public, licensed, partner-supplied and user-supplied information about real estate professionals and organisations. This may include profile, location, agency association, platform presence, activity, engagement, content, video, reputation, reach and review indicators.
6.2 We use this information to match records, calculate visibility indicators, provide reports, publish rankings and benchmarks, conduct research, identify trends and offer relevant Properti services. A score measures digital visibility indicators and is not an assessment of competence, character, sales performance or suitability.
6.3 Some profile information, scores, bands, rankings and comparisons may be publicly visible or included in Digital Visibility Index publications. Properti may publish aggregated statistics and selected attributed profiles where this is lawful and fair.
6.4 A person may claim a profile or request access, correction or review by following the process shown in the report or contacting privacy@properti.ai. We may ask for evidence of identity or association. We will investigate reasonable accuracy concerns and may correct data, add context or explain the scoring outcome.
6.5 Public availability does not remove our privacy obligations. We consider source, sensitivity, reasonable expectations, likely impact and applicable law when collecting and publishing personal information.
7. Artificial intelligence and automated insights
7.1 Properti uses AI and automated systems to generate content and replies, classify or summarise information, recommend actions, optimise workflows and advertising, match records, detect abuse, and calculate Grader or Digital Visibility Index indicators.
7.2 These systems may use account settings, Customer Content, public data, product usage and information from enabled integrations. Some processing may be performed by contracted model or infrastructure providers subject to privacy, security and use restrictions.
7.3 Automated output may be inaccurate or incomplete. Properti expects users to review output before publication or action. We do not intend Grader or marketing automation to make decisions that produce legal or similarly significant effects about individuals without appropriate human involvement.
7.4 An individual may contact us for information about a score or materially adverse automated outcome, request correction of underlying personal information, and ask for human review where appropriate and required by law.
7.5 We may use feedback and de-identified or aggregated usage information to evaluate and improve AI Features. Use of identifiable Customer Content to train a general-purpose model will occur only where this is disclosed and supported by appropriate contractual and legal permission.
8. Reviews and communications
8.1 Customers may use Reviews to send requests by email, SMS or other supported channels, collect responses, import reviews from connected platforms, draft replies, display widgets and create social content.
8.2 The relevant customer is responsible for deciding who receives a request and for having consent or another lawful permission. Properti processes delivery, engagement and response data to provide the feature, maintain records, prevent abuse and generate customer reports.
8.3 Connected reviews and replies may be public on the originating platform or on customer websites. Customers should avoid including private property, transaction or client information in public replies. Some platforms remain read-only or impose their own privacy terms.
9. Advertising, analytics, cookies and personalisation
9.1 Properti uses essential technologies for authentication, security, preferences and core functionality. We may also use analytics, advertising pixels, conversion tracking, remarketing and personalisation technologies.
9.2 These technologies may collect device, browser, usage, referral, campaign and interaction information and associate it with an account or profile where permitted. We use it to understand performance, attribute conversions, improve products, personalise experiences and communications, and show or measure advertising.
9.3 Where law requires consent, non-essential technologies will be used only after consent. A person can use available cookie controls, browser settings and platform privacy settings, although blocking essential technologies may prevent features from working.
9.4 Third party advertising and analytics providers may receive identifiers and event information under their own privacy terms. Properti does not sell personal information for money. Some laws may characterise certain targeted advertising disclosures differently; we will provide required choices where those laws apply.
10. When we disclose information
10.1 Service providers and subcontractors that host data, deliver communications, process payments, provide security, analytics, customer support, AI, professional services or other operational functions.
10.2 Third Party Services chosen or enabled by a customer, including social, advertising, CRM, review, design and listing platforms.
10.3 A customer, workspace administrator, franchise head office or enterprise administrator where the account structure and relevant notices permit access.
10.4 Professional advisers, insurers, auditors and financiers subject to appropriate duties.
10.5 Regulators, courts, law enforcement or other persons where required or authorised by law or reasonably necessary to protect rights, safety and service integrity.
10.6 A prospective buyer, investor or successor in connection with a genuine corporate transaction, subject to appropriate confidentiality and privacy protections.
10.7 Other persons with consent or at the direction of the individual or relevant customer.
11. Overseas processing and disclosure
11.1 Properti operates across Australia and New Zealand and uses technology providers that may process information in other countries. Depending on the Service and enabled integrations, information may be processed in Australia, New Zealand, the United States and other countries where our providers or the customer chosen platforms operate.
11.2 For Australian personal information, we take reasonable steps required by Australian Privacy Principle 8 before disclosing personal information to an overseas recipient and remain accountable where the Privacy Act provides.
11.3 For New Zealand personal information, we assess whether Information Privacy Principle 12 applies and use comparable safeguards, contractual protections, an applicable legal pathway or informed authorisation where required.
11.4 Privacy protections and enforcement may differ overseas. Contact privacy@properti.ai for current information about material processing locations relevant to a Service.
12. Data quality
12.1 We take reasonable steps to keep personal information accurate, complete and current for the purpose for which it is used. Public and third party sources may be delayed or incorrect.
12.2 Individuals and customers should update account information and tell us about material inaccuracies. A disputed score may reflect methodology rather than an error; if so, we will explain that distinction where practicable.
13. Security
13.1 We use reasonable administrative, technical and organisational safeguards appropriate to the nature of the information and risks. These may include access controls, authentication, encryption in transit, monitoring, backups, vendor review, personnel controls and incident response.
13.2 No system is completely secure. Individuals and customers should protect credentials, use available security features and notify us promptly of suspected unauthorised activity.
13.3 We assess suspected privacy breaches and notify affected individuals and regulators where required, including under the Australian Notifiable Data Breaches scheme and New Zealand Privacy Act 2020.
14. Retention and deletion
14.1 We retain personal information for as long as reasonably necessary for the purposes in this Policy, to provide the Services, meet contractual and legal obligations, resolve disputes, prevent fraud and maintain legitimate business records.
14.2 Retention periods vary by information type, account status, customer instruction, backup cycle, platform requirement and law. When information is no longer required, we take reasonable steps to delete or de-identify it, subject to lawful exceptions.
14.3 Public profile information may be refreshed or retained where needed to maintain historical Digital Visibility Index integrity, respond to disputes and explain published research. We will consider valid correction, suppression and deletion requests under applicable law.
15. Access, correction and other choices
15.1 Subject to applicable exceptions, an individual may request access to personal information Properti holds about them and ask us to correct it. We may need to verify identity and authority before responding.
15.2 Requests can be sent to privacy@properti.ai. We will respond within the time required by applicable law and explain any lawful refusal and available complaint process.
15.3 Depending on context and law, an individual may also withdraw consent, object to or limit certain processing, request deletion, ask about a source, opt out of direct marketing, disconnect an integration, or request human review of a materially adverse automated outcome.
15.4 If information is controlled by a Properti customer, we may refer the request to that customer or assist it to respond.
16. Marketing preferences
16.1 We send commercial electronic messages only where we have consent or another permission recognised by applicable law. Messages identify the sender and include a functional unsubscribe method where required.
16.2 A person can unsubscribe using the message link or instructions or by contacting us. We will action valid requests within the period required by law. We may still send non-marketing service, security, transaction and legal notices.
16.3 Customers using Properti to send messages are responsible for complying with the Australian Spam Act 2003, New Zealand Unsolicited Electronic Messages Act 2007 and other applicable direct marketing rules.
17. Privacy complaints
17.1 Send a privacy concern to privacy@properti.ai with enough information for us to investigate. We will acknowledge and investigate the concern, may request further information, and will provide an outcome within a reasonable period.
17.2 If an Australian individual is not satisfied, they may contact the Office of the Australian Information Commissioner at oaic.gov.au. A New Zealand individual may contact the Office of the Privacy Commissioner at privacy.org.nz. We encourage individuals to contact us first so we can try to resolve the issue.
18. Children
18.1 Properti Services are intended for business users aged 18 or older and are not directed to children. We do not knowingly create user accounts for children.
18.2 If we learn that we collected a child personal information without appropriate authority, we will take reasonable steps to delete or otherwise lawfully handle it.
19. Third party services
19.1 Websites and Services may link to or integrate with third party services. Their privacy policies govern their own collection and handling. Customers should review permissions and privacy settings before connecting them.
19.2 Disconnection does not necessarily delete information already sent to or obtained from a third party. Requests about that information may need to be directed to the third party.
20. Changes to this Policy
20.1 We may update this Policy when practices, products or laws change. We will publish the current version and update date.
20.2 For a material change, we will generally provide at least 30 days notice where practicable through email, the Service or our website. We may give shorter notice where a change is required urgently for law, security or abuse prevention.
